Memory and Shop Rules

Memory is how Verbstack knows your shop: your rules, your documents, what Verbstack learned from your decisions, and what the assistant remembers for you.

Nothing learned or proposed takes effect until an admin adopts it.

Who it's for

Anyone on a Pro or Max plan. Admins adopt rules. Editors propose them.

Write a business rule

  1. Open Settings → Memory → Business SOP → Rules and press Add Rule. An editor sees Propose a Rule.
  2. Pick the kind: Offer Rules, Shipping and Returns, Brand Voice, Exclusions, Response Targets or Custom Rule.
  3. Pick what it Applies To: Whole Shop, Category, Brand, SKU or Listing. Brand Voice and Response Targets cover the whole shop. Exclusions need a category, brand, SKU or listing.
  4. Fill in the fields for that kind. Offer Rules take up to three percentages. Response Targets take hours. A Custom Rule takes your own sentence.
  5. Press Add Rule (Propose for an editor).

An admin's rule is active at once. An editor's becomes a change request. A rule is never deleted: Archive it, and tick Show Archived to see it again.

Import your SOP document

  1. In Business SOP → Documents, press Import.
  2. Choose a PDF, Word (.docx), Markdown or text file, up to 10 MB.
  3. Add a title and tags, and import.

Verbstack saves it as a draft and proposes the rules it finds, each with its source sentence, for an admin to adopt. Scanned PDFs can't be read yet, only a file whose text can be selected.

Importing needs the Admin role. Write a Document writes one instead (Propose a Document for an editor). A document is Draft, Proposed, Active or Archived. The assistant reads and cites only active ones.

Adopt a change request

Change Requests shows how many are waiting. Open one to see what would change, from what to what, and who proposed it: an editor, the assistant, learning, an imported document, a recommendation's "Make This Our Rule", or a conversation the assistant read. Only an admin adopts or rejects. The proposer, or an admin, can Withdraw it.

Adopt something Verbstack learned

In Learned, read the evidence: matching decisions, consistency, since when, confidence, and what adopting would change. Then press Adopt or Dismiss.

An adopted item shapes future recommendations. Retire stops it, and Restore brings back a dismissed or retired one. Check Now looks for new patterns, and Verbstack also checks nightly. An item that hasn't shown up recently is badged Review Suggested. These actions are admin only.

Manage your own memory

In My Memory, press Remember Something and save a name and value. It is private: teammates and admins can't read it.

The assistant also suggests items from your conversations, badged Suggested. Press Keep or Dismiss. Clear All deletes everything and cannot be undone. Propose as a Shop Rule turns your item into a change request for an admin. It needs the Editor or Admin role.

Read the standards and export

Verbstack Standards lists the rules Verbstack follows for every shop, each Can't Be Overridden or Default You Can Change. Your rules, learned items and memory work inside them.

Export (admin only) downloads your rules, documents, change requests, learned items and decision history as JSON. Nobody's My Memory is included.

What needs a plan or a role

Admins add, edit, adopt, reject, import and export. Editors propose, which waits for an admin. Everyone keeps their own memory in My Memory.

Three things people get wrong

  • An imported document is not a rule until an admin adopts the rules it proposes.
  • My Memory is not a shop rule. It shapes the assistant for you alone. Use Propose as a Shop Rule to apply it to your team.
  • Retiring an adopted item does not undo the decisions it shaped, and doesn't touch anything changed since.
