Plan Reorders and Draft Purchase Orders
Inventory → Planner shows when to reorder each listing and how many to order. Pick the listings and turn them into draft purchase orders.
Who it's for
Sellers who stock more than one unit of a listing, on a Pro or Max plan. Your 14-day trial includes it.
Before you start
Verbstack plans only listings that track inventory on Reverb. Reorder By and Reorder Qty also need at least 3 units sold in the last 90 days. Any other listing shows "--" there.
Set your lead times first. Without one, every date uses the default of 39 days.
How a listing is planned
Each listing is planned from its own sales over the last 90 days. Its speed is the units sold ÷ 90. Velocity, Days of Supply, Stockout, the forecast and the chart use the same speed, at any number of units. A listing with one sale has a speed. Reorder By, Reorder Qty and Variance wait for the third unit.
The lead time is the first of these that applies:
- The listing's own row in Inventory Settings.
- The lead time of the listing's supplier, set on Inventory → Suppliers.
- The category, then brand, then global row in Inventory Settings.
- The default of 39 days.
Set a listing's supplier in its pane on Listings.
The reorder point is speed × lead time × Safety Multiplier, rounded up.
Units on order count with your stock. They are the units on draft, ordered and shipped purchase orders that are not yet received. Lines that Create Draft PO adds always count. A line counts only when it is linked to its listing.
Reorder By is the day your stock plus units on order falls to the reorder point. It reads Now when it is already at or below it.
Reorder Qty is what to order on that day: your Target Weeks of Supply at the listing's speed. When Reorder By is Now, it adds the reorder point and takes off your stock and units on order. It is never below your Min Order Qty.
Reorder Qty is red when stock plus units on order is at or below the reorder point. It is amber up to 1.5 times the reorder point, and green above that.
Hover a Reorder By date to see its lead time and where it comes from. Where a listing sold too little, hover "--" to see its units sold. If the units on order could not be read, Reorder Qty says so on hover and takes none off.
Read one listing's plan
Click a row to open its pane. Under Inventory Planning, Lead Time shows the days and their source: a supplier's name, Inventory Settings or Default. Reorder By and Reorder Qty sit under it. With units on order, Reorder Qty reads, for example, "12 · 14 on order".
Create draft purchase orders
- On the Listings view, tick the listings to reorder.
- Press Create Draft PO in the selection bar. The Create Draft PO pane opens beside the Planner.
- Check where each supplier's listings go: New Draft, or Add to PO 10005 for an open draft.
- Check each quantity. Each starts at the listing's Reorder Qty.
- Fill in any empty field with a whole number of 1 or more.
- Press the button at the foot of the pane.
The button names what it will do: Create Draft PO, Create 2 Draft POs, Add to PO 10005 or Add to 1 Draft, Create 2. When it is off, the line above it says why.
The pane groups your picks by supplier. Listings with no supplier sit under No Supplier. Each purchase order line keeps the listing's title and SKU.
The pane follows your picks. Tick another row and it joins the pane. Untick one and it leaves. Quantities you typed stay. Clear, or unticking the last row, closes the pane.
A listing with no Reorder Qty starts empty. The reason sits under its name, for example "1 unit sold in the last 90 days. Verbstack needs 3 to plan a reorder."
Create Draft PO takes only the rows ticked on this page. With Select All on, the bar says so: "Actions apply to the 25 on this page."
Add to an open draft
Each supplier starts on its open draft that changed most recently. A supplier with no open draft starts on New Draft. No Supplier always starts on New Draft, though you can add to an open draft with no supplier. Each choice shows when the draft was created or changed, and how many lines it has.
A listing already on the draft says how many are there, for example "20 already on PO 10005". The quantity you type is added to that line. That line keeps the draft's unit cost. A new line takes the listing's cost today. A listing with no cost gets a unit cost of $0, so check it before you place the order.
Unique items stay out
A listing marked "This is a unique item" on Reverb is not restocked from a supplier. The pane leaves it out and says, for example, "2 unique items left out. They aren't restocked from a supplier." When every pick is unique, the pane says "No listings to order." You can still tick a unique item to export it.
After you press the button
Verbstack writes every draft at once. The first draft opens in its pane on Inventory → Purchase Orders.
If a draft you chose changed while you worked, nothing is saved. The pane says which draft changed, for example "PO 10005 is no longer a draft. Nothing was saved. Choose a draft again." Your quantities stay.
Your picks clear when you move to another page or sort the table. The pane then closes.
What needs a plan or a role
The Planner, Suppliers and Purchase Orders need a Pro or Max plan. The 14-day trial includes them. Creating a draft purchase order needs the Editor or Admin role. A viewer sees Create Draft PO disabled, with the reason on hover.
Four things people get wrong
- "--" does not mean "nothing to order". The listing does not track inventory, or sold fewer than 3 units in 90 days.
- A green Reorder Qty is not an order for today. Order it on the Reorder By date.
- A date on the 39-day default is a rough guide. Set your lead times in Inventory Settings or on your suppliers.
- A draft you have not sent still counts as on order. Cancel or delete a draft you will not send, or its units keep Reorder Qty low.
